Introduction

With the "Address Book" on the Forto platform, you can save frequently used organizations (such as your organization or a supplier), contacts, and locations. Use the Address Book to optimize your workflows.

How to access your Address Book

The information stored in the Address Book is visible at the company account level. This means that all users in your organization can access the same information.

You can access the Address Book in the left sidebar of your Forto platform.

On the main page, all information about your directory is displayed. So when you first open your account, you will already find your organization, which includes all billing addresses and customs information.

The page is divided into three sections:

Organizations are business units where you can assign contacts, locations, customs settings, and billing information.

Locations can be office addresses or warehouses, as well as seaports or airports.

Contacts, where you can create one or more connections within an organization. Each communication is maintained with the corresponding email address, phone number, and role.

Creating entries in your address book

To create a new entry in your address book, simply click on the "Create" button below the category of your choice (Organization, Location, Contact).

Using your address book information

You can use your address book information during a new quoting request by selecting the locations and contacts from the dropdown menu. Or in a booking template, ensure that your shipment's origin and destination are always correct.

Delete or modify entries in your directory

You can do so for any item except your organization, which cannot be deleted. However, you can modify your organization's data at any time.

When deleting an organization, all information contained within it will also be deleted (e.g., all contacts and locations belonging to that organization will be removed).

Please note: If you change or delete information in your directory, this will only affect future shipments (e.g., if you have used your directory information in a booking template), but it will not change anything for existing/ongoing shipments.
